How Technology in the Office Improves the Workspace

Gone are the days of having hard copies of every document filed in a cabinet, faxed, and mailed for record keeping. Similarly, we don’t have to hand-write important letters and wait several days for the recipient to confirm receipt. We can all agree that digitizing record-keeping and data entry is an improvement and that using email rather than handwritten letters is much more convenient. This is a minor example of how implementing technology in the office space has dramatically improved overall work experience. However, we’ve come a long way from digitizing files and emails, and now we’re looking at much more exciting ways to use technology to clean up convoluted processes and eliminate tedious tasks.

Process Automation

One very beneficial factor of technology in the office today is process automation. Seventy percent of business leaders say that they spend anywhere from 10%-40% of their workday on mundane, time-consuming tasks that could be automated. This comes out to about 45 minutes to 3+ hours of the workday. Process automation technology can help streamline processes so that the stress of completing administrative tasks becomes a thing of the past and can also eliminate the expensive element of human error. Automation software boasts a high ROI, as it saves business leaders money by way of time and reduces the cost of business.

Booking, Scheduling, and Hoteling

The current landscape of the hybrid and remote work environment produces the need for technology in another way. We already have the means to book appointments on calendars, but now that new office hoteling measures are being adopted, there is a need for a cloud-operated program that handles much more than that. There are now facilities management cloud programs that handle booking company spaces and rooms, let you know when your visitor has arrived for a meeting, handle mail and digital mail services, copier services, and more. An increase in this kind of technology in the office helps by consolidating and streamlining these types of operations, and the interactive dashboards are easy to use.

Communication and Team Building

The rise in popularity of large teams working together in different parts of the world and virtually meeting for collaboration makes the need for communication technology extremely important. Teams must work together through different time zones and meet using chat programs and video conferencing software. Teams can work together on projects over cloud sharing, use customer relationship tools (CRMs) to track customer conversations and sales funnels, and even automate follow-up emails. Videoconferencing tools streamline collaboration, and according to Forbes, visual conferencing is processed more efficiently than audio: “62 percent of executives agree that video conferencing significantly improves the quality of communication. In addition, 50 percent of those surveyed believe video conferencing also improves the degree of understanding.” In this way, technology in the office becomes a highly lucrative tool.
